Wherever possible, event organisers and individuals should claim from their institutes in the first instance and the institute should then get repaid by RadioNet. In this case the institut financial rules apply

Claiming by institution

  • Is there a deadline for claiming?

Yes! Please send your claim latest 6 months after the travel/visit/event/workshop/conference!

  •  What is the shipment address

Please send the documents (keep copy for you) to:

MPIfR – RadioNet  // Auf dem Hügel 69  //  53121 Bonn  //  Germany

  • Is the submission of the travel claim by email accepted?

No. You have to send the original travel claim signed and in paper.

  • Where do I get the travel claim form from?

The travel claim documents are provided when you inform the RadioNet Management how you would like to claim (institutional or private)

  • Does the claiming institution have to submit to RadioNet original receipts?

This is preferably, but if the institution has to keep the originals, then copies of the receipts will be accepted. IN THIS CASE: Please attach to the claim a brief explanation on the official institution´s paper (letterhead), why there are copies attached.

  • Do the expenses reported in the claim have to be proofed by a receipt?

Yes, each reported expense has to be accompanied by a receipt that stated exactly the claimed amount.

  • Should currencies be converted?

No. The currency of the receipts has to be maintained. If there are different currencies on different receipts, because the trip led through various countries, then please:

Claim for each currency one amount.

Example: If you have one receipt 100 €, one receipt 50 €, one receipt  55 GBP and one receipt 45 GBP, then please claim 150 € and 100 GBP

  • What to do if expenses are higher than the approved funding amount?

Please submit a complete claim to RadioNet, just ignore the fact that expenses are higher, do not cut the amount yourself. The RadioNet administration will so; you will receive the approved maximum amount.

Individual claiming

  1. your bank details IBAN and swift Code
  2. place and date of birth
  3.  your private address
  • Which administrational rules will be applied?

If you perform an individual claim, the rules of the Max-Planck-Institute for Radio Astronomy will apply. Find here the MPIfR rules: mpg-travel-handbook-radionet

  • Do you have to submit to RadioNet original receipts?
